Executive Admin Assistant

Role Purpose:

The Executive and Admin Assistant will perform a wide range of administrative and office support activities and – together with his/her colleagues - aid the MDs in facilitating the efficient operation of the organization.

Major Accountabilities:

  • Act as the point of contact between the MDs and internal/external clients
  • Undertake tasks of receiving calls, messages, routing correspondences and handle requests and queries appropriately
  • Maintain diary, arrange meetings and appointments and provide reminders
  • Make travel arrangements; manage expenses claims
  • Organization of events and hosting of business guests
  • Take minutes of meetings and accurately enter data
  • Monitor office supplies and research advantageous deals or suppliers
  • Produce reports, presentations and communication notes
  • Develop and carry out an efficient documentation and filing system
  • Teamwork with other MD Assistants / Secretaries; cover in case of absence
  • Handle general office administration support e.g. meeting room management, stationaries, company stamp, contract e-filing etc.
  • Handle other duties such as: Working in various committees e.g. Cafeteria, D&D; as well as management of Company Driver, Company Car, corporate Insurance and administrating Corp Pass 

Role Requirements:

  • Bachelor Degree in business administration or related field                                                
  • Min 5 years of secretarial and administrative experience supporting senior management
  • Excellent knowledge in MS Office applications
  • Full comprehension of office management systems and procedures
  • High level verbal and written communications skills
  • Ability to multitask and prioritize daily workload
  • 100% discretion and confidentiality
  • High flexibility, proactive, strong sense of integrity and high learning agility
  • Strong organizational, interpersonal and time management skills
  • Comfortable working with all levels of the organization
