Order Management & QMS Specialist
Role Purpose:
This is a crucial role within the company responsible for managing customer orders within our factory from the moment the order has been entered and processed. You will be:
- Managing and executing all aspects of the order, collaborating with cross department interfaces, such as Sales, Engineering, Procurement, Production and Finance, to ensure the order is executed and finalised and shipped in a timely manner
- Ensure all milestones are met and you will update and communicate key stakeholders of any issues and or deviances from the schedule
- Liaise and interface with the customer, Sales, Engineering, Procurement and Production in ensuring all cross functional departments are updated. This position will act as an internal link between Sales, Engineering and Production ensuring all customer requirements following order placement are met
The role will also encompass the management of our Quality Management System which is already in place but will require the applicant to ensure ongoing compliance with relevant standards in line with Group Corporate Policy Requirements.
Major Accountabilities:
- Manage and execute timely completion of all customer orders collaborating with other departments within the company to meet all scheduled milestones.
- Manage project documentation, gathering data sheets and submitting in customer and internal portals.
- Coordinate with engineering drawing approvals with the customer/end user.
- Coordinate with procurement on pre-ordering long lead time items.
- Prepare and submit project schedules and progress reports to customers and managements.
- Liaise with customers on change requests and ensure revised quotes are sent to the customer and amended PO’s (Purchase Orders) are received and entered into the ERP system.
- Provide feedback and assist with the evolution of product configurators and ensure continuous improvement in such tools.
- Prepare and coordinate F.A.T’s (Factory Acceptance Testing) with customers and third party inspectors.
- Manage customer expectations and complaints and ensure they are addressed in line with Quality Management System requirements.
- Develop, implement and maintain the company’s Quality Management System in line with relevant ISO standards (ISO 9001) and Group Corporate Policy Requirements.
- Conduct regular audits and assess compliance with internal and external requirements.
- Collaborate with cross functional teams to ensure quality requirements are integrated into all business processes.
Role Requirements:
- Tertiary qualifications in Engineering, Manufacturing or a related field (preferred)
- Good understanding of Quality Management and ISO 9000 Quality Standards so as to manage the company’s Quality Management System (QMS)
- Good understanding of technical engineering drawings, AUTOCAD, and familiarity with regulatory compliance especially with hazardous areas
- Excellent communication skills, clear and professional communication and act as the main point of contact between the stakeholders: Customers, Sales, Engineering and Production. Ability to translate complex technical details into customer friendly updates is a big plus
- Strong organisational and planning skills, who can juggle multiple projects and tasks with strict deadlines
- Timeline management skills are crucial to ensure customer orders meet deadlines and stay on track
- Proficiency with project management tools such as MS Project, Monday.com highly regarded
- Customer-centric mindset with the ability to balance customer demands with realistic delivery schedules and balancing overall project requirements and customer delivery requests
- Attention to detail will be critical in order to ensure order specifications, technical drawings and approvals are in place before production commences, tracking projects, timelines and quality control metrics
- Decisive in prioritising urgent issues and orders, skilled at assessing and implementing contingency plans and quick thinking when engineering, procurement or production delays arise
